Save the Dates

The Training and Support Team will be hosting workshop sessions as part of the Office of Classroom Management’s annual Scheduling U series, as well as our own monthly workshop.  No registration is needed. Here’s what’s in the works:

CCS: Encore SR Help workshop session
Schedulers are invited to join the ASR Training and Support Team & OCM Scheduling Team for a CCS user review workshop. We will revisit some of the CCS processes that changed as part of the upgrade and have plenty of time for questions. Note: This is a repeat of the session conducted on the East Bank on September 29.

Waitlists: Let’s take it from the top
Schedulers and others interested staff are invited to join the ASR Training and Support Team for a user overview workshop. Not only will we cover processes to setup and maintain waitlists, but also the issues and resolutions that were encountered with waitlists at the beginning of this term.

Astra Academics Refresher
Astra Academics schedulers are invited to join the ASR Training and Support Team for a refresher session on entering classroom assignments using Astra Academics. We will demonstrate the process and have plenty of time for questions.

Registration for Upgrade Collaborative Class Scheduling training is open

Registration is now open for the PeopleSoft 9.0 Upgrade Collaborative Class Scheduling (CCS) training that is required of all ECS schedulers as part of their Upgrade training. This class provides current ECS schedulers an overview of the changes to class scheduling resulting from the Upgrade. Staff who use ECS may use the above link to register for an in-person, hands-on session where they will learn about:

  • CCS pages in PeopleSoft and page navigation
  • Changes to wait lists
  • Access to grading
  • Introduction to Faculty Center  
  • Astra Schedule (for those who schedule classes into departmental classrooms)

Keep in mind:

  • PeopleSoft 9.0 Upgrade Collaborative Class Scheduling (CCS) training will be offered in both Duluth and the Twin Cities. Staff should make sure they are selecting the appropriate location when registering.
  • It is recommended (though not required) that ECS users complete the Student Systems Upgrade Overview prior to their PeopleSoft 9.0 Upgrade Collaborative Class Scheduling (CCS) training session.
  • Neither of these trainings will be used to grant new access. Those who do not already have access to Campus Solutions or are not current ECS users will need to complete additional training.


Upgrade Overview training is now available online

The PeopleSoft Upgrade will bring changes not only to PeopleSoft, but to the processes it supports. The Student Systems Upgrade Overview training, which will prepare users for these changes is now available in ULearn. This training is required for all staff with access to student data in PeopleSoft.

The Student Systems Upgrade Overview is an online course. Staff may complete it at their own pace and on their own schedule between now and when the Upgrade goes live. Most people should be able to complete this course in 30 minutes or less.

Upon completion of this course, staff will understand:
  • Upgrade-related changes to functionality in the new MyU portal
  • Self Service centers
  • Reporting Center
  • Business process changes specific to Student Records staff
  • How and where to find self-study materials on specific processes not covered in the overview
Keep in mind:
  • The Student Systems Upgrade Overview will not be used to grant new access. Those who need to be granted access to Campus Solutions should complete the Access Request Form and both Student Data Inquiry and the Student Systems Upgrade Overview prior to the Upgrade go-live.
  • Staff may complete the course more than one time. Staff are welcome to complete it now and then repeat it closer to go-live.

PCAS review sessions scheduled

To help PCAS editors prepare for the undergraduate catalog update, the following PCAS review sessions are scheduled:
  • Tuesday, June 3, 10:30 a.m.-12 noon - 140 Nolte (East Bank)

  • Tuesday, June 3, 1:30-3:00 p.m. - B25 Ruttan (St Paul)

  • Tuesday, June 10, 10:30 a.m.-12 noon - 120 Blegen (West Bank)

  • Thursday, June 12, 1-2:30 p.m. - 140 Nolte (East Bank)

No need to RSVP for these sessions. PCAS editors may simply attend, if interested. These review sessions are for trained PCAS editors wishing for a refresher. Any staff who need initial PCAS training should contact srhelp@umn.edu to request a training session.

Online Student Data Update training

The Academic Support Resources (ASR) Training Team recently launched a Student Data Update (SDU) Online training course that may be used in lieu of in-person SDU training. SDU training is necessary to be granted update access in PeopleSoft. Registration for online training began Monday, December 16.

Registration and training will take place in ULearn, the University's Learning Management System (LMS) that allows for administration, tracking, and reporting of training content. The online training course will take approximately 60-90 minutes to complete. Following confirmation of having completed the training course, as well as submitting the Access Request Form, access to update data in PeopleSoft will be granted.

Online training provides users with a self-paced environment, and it can be re-launched for future use. In-person SDU training will still be available, but it is no longer the required format. Registration for both in-person and online training will be in ULearn.

    Scheduling U in November

    As part of the Office for Classroom Management's (OCM) Scheduling U series, the ASR training team will be leading a session for ECS users entitled How to make Astra work for you. You may already know how to use Astra Schedule to request an event or to view a calendar, but there is a lot more that it can do for you. Learn how to navigate the new system-wide scheduling tool to find information faster by using filters, saving searches, and running ad hoc reports to make class scheduling easier.

    We're not experts on Astra, but in collaborating with OCM staff we found a few neat Astra tricks that we'd like to share with you, such as how to quickly search for sections that don't have an instructor assigned (may make grading go easier in December!) and when/where your final exams are scheduled.

    Online Student Data Inquiry training

    The Training Team is in the final stages of developing a Student Data Inquiry (SDI) tutorial that may be used in lieu of in-person SDI training. Staff and faculty will be able to begin registering for online training on Monday, September 30.

    Registration and training will take place in ULearn, a Learning Management System (LMS) that allows for administration, tracking, and reporting of training content. The online training video and related activities will take approximately 40-60 minutes to complete and will include information regarding FERPA and a short interactive quiz. Following confirmation of having completed these steps, as well as submitting the Access Request Form, PeopleSoft access will be granted.

    Online training provides users with a self-paced environment, and it can be re-launched for future use. In-person training will still be available, but it is no longer required. Registration for both in-person and online training will be in ULearn.
